Attach documents

This processing is used to upload documents and connect them to your order documents.

You add documents either from My files or directly into the Attach documents dialog by using drag and drop. Under My files you can split, merge or delete documents. Different parameters can be selected depending on from which table you execute the processing. You can also view your files from this dialog.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Attach documents.
  3. Select the Attached files tab in the dialog.
  4. If needed, upload your file using drag and drop, or select the file from the My files tab if already uploaded. Click Attach to add the file to the order from My files.
  5. You can edit the file name and add a description.
  6. Click the Usage toggle next to the file name to select which reports this document should be associated with. Default order documents from Order attachment processing in the Company information table are set when the document is added to the Attached files tab.
  7. Finish by clicking Done.

Cancel

This processing cancels selected orders or order lines without deleting them.

Note:
Use the Cancel processing carefully, since the original contents of the order can’t be recreated, and you can’t see which order status it had. You can block groups of users from cancelling rows that have been picked or partly finished. You can also mark the processing as hidden in the layout.

The cancellation is not performed if:

  • Anything in an order line is finished
  • You have selected Exempt from Cancelling as order status for an order
  • You have selected Exempt from Cancelling in the Processing dialog for an order line or product.

Order lines are excluded from warehousing if they are cancelled or the order is cancelled. If necessary, the previous processing is reversed, excluding quantities that are realised, in the same way as with deletion. The difference compared to deletion is that you can see what was originally entered. Orders or order lines that have been cancelled aren't included in printouts or in order totals, etc., when they are saved.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Cancel.

The order lines are now given the Cancelled status, and:

  • The Accepted by us option is deselected, if it was selected.
  • Purchase order lines are confirmed.
  • The Quantity is reset.
  • The actual delivery date is deleted so that order lines are unconfirmed and considered not to have been sent from the supplier.

Confirmed

This processing is used to mark purchase orders or purchase order lines as confirmed by the supplier, or sales, hire and loan orders as confirmed by your company.

Purchase orders

  • Initiating purchase orders: When processing purchase orders, the system will automatically set the confirmed quantity to match the total quantity for all order lines that require confirmation. This action occurs when the total quantity exceeds the confirmed amount.
  • Date and transport updates: The system updates the order and order line dates accordingly. If a transport time is specified, it recalculates the new arrival/departure date, impacting the Stock change table.
  • Reservation processing: Selecting Reserve against all orders will reserve unreserved decrease order lines, provided there is a remaining quantity to process. This setting is derived from the Reservation processing option in the Company information table.
  • Order line status: For decrease order lines processed with Reserve against all orders, the system sets the order line status to Confirmed by supplier while preparing for Delivery note. The system also updates the order status to reflect Delivery notes and Purchase confirmation as completed.

Sales, hire and loan orders

  • Order line acceptance: When adding new order lines in sales, hire, and loan orders, the Accepted by us option in the Order line status field is automatically selected. This indicates that the order line has been acknowledged by your company.
  • Manual acceptance: If the Accept changes manually option is enabled in the Order options dialog, Accepted by us will not be automatically selected. Instead, you’ll need to manually confirm each order line.
  • Confirmation of quantities: The Confirmed quantity field is populated only after the printed order confirmations are reviewed and approved. This field is updated to reflect the quantities that have been pre-accepted by your company.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Confirmed.
  3. Make settings in the dialog.
    Option Description
    Date Today's date is suggested.
Transport time If a transport time is specified, it recalculates the new arrival/departure date.
Overwrite non blank dates This setting is not in use in Business NXT.
Reserve against all orders Unreserved decrease order lines are reserved
You can use the corresponding processing menu option in the order lines, or correct the values in the Confirm now column manually in case of a partial confirmation or if you want to withdraw a previous confirmed quantity.
Note:
The Confirmed delivery date in the order is updated only if it hasn’t been previously filled. This ensures accurate tracking of order confirmations and delivery schedules.

Create order copy

This processing is used to create a copy of an existing order, with or without changing the customer number.

The order lines on the copied order inherit their values directly from the original order lines.
Note:
This overrides the default duplication of fields from the order head to the order line, as the copy process would otherwise not retain the values from the original order lines. The order lines on the copied order will receive the value 7 - Order copy in the Source type field.

The Create order copy processing can be used for orders of transaction type 1-5 and of the following order types:

  • 1 - Normal order
  • 2 - Direct order
  • 5 - Quotation/Inquiry
  • 6 - Unprocessed order
  • 7 - Advance order
  • 8 - Budget order

You can copy only one order at a time, and in the following ways:

  • As is
  • With update to the current prices
  • To another Cust. no. with or without update of prices

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Create order copy.
  3. Make settings in the dialog.
    Option Description
    Order date Today’s date
Customer no Select the customer to be used for the order copy
Reverse prefix When set, the order line quantities will get reverse prefixes and Order options is set to 2 (Credit note)
    Lookup all values from customer

Copies the Warehouse no. from Warehouse no. cust. in the Associate table, and if this is empty, Default warehouse in the Company information table is used.

The default setting is that the Warehouse no. is copied from the order. Warehouse no. in the Order line table is always copied from the original order line.

Copy Org. units from customer The organisational units are copied from the selected customer
Lookup all values from product The values on the order lines are updated from the Product table
New prices The prices are updated from the Price- and discount matrix table
    Copy all document links

Copies the following fields to the new order:

    • Memo file name
    • Picture file name
    • Web page
    • Scan doc. no.
    • Visma ID
    • Scan status
Update currency from associate The currency is copied from the selected customer
Update exchange rate The exchange rate is updated from Currency or Currency rate table

Create prepayment line

This processing is used to create an order line for prepayment. A prepayment invoice can for example be used for products that have been specifically tailored for a customer.

The first invoice contains only the prepayment line. This line will get the amount equal to the sum of the amount of the normal order lines. The prepayment line will get order type 2 - Direct order and can be invoiced directly as a prepayment invoice. During invoicing, a new order line is created. This order line is a copy of the prepayment line, except that the Quantity is negative.

The final invoice contains the products delivered, plus the negative prepayment line which will balance the first invoice. By default, the amount in the final invoice is 0, unless there has been made additions or that the prepayment line was less than the Total before gr. disc.. You can override the prepayment line if only part of the order amount is to be prepaid.

The regular Processing method applies for the Prepayment product no.. This means that it can be customised as needed. The following settings are recommended:

  • Exempt from warehousing
  • Suppress: Product no. and Quantity
  • Exclude from all documents except Invoices/credit notes
  • Exclude If 0
  • Do not calculate discount from standard price

Use the print option Unprocessed order lines if you want all order lines to be displayed on the first invoice.

The Prepayment product number needs to be defined in the Prepayment product no. field in the Company information table.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Create prepayment line.

A new order line with the following properties is created:

  • The product number is fetched from Prepayment product no. in the Company information table
  • The Quantity is set to 1
  • The Price is set to Total before gr. disc.
  • The Order type is set to 2 - Direct order

Finish

The processing finish can be performed for sales orders and purchase orders.

The finishing of the sales order is a completion of picking the order in the warehouse. The finishing of the purchase order is the goods receival of goods arriving from a supplier into the warehouse.

If you want to display the Finish dialog, select Dialog at finishing in the Order processing 2 field in the Company information table. The dialog can be suppressed by pressing the Shift key while starting the processing.

When you use the Finish processing, the Finished field is set equal to the invoiceable outstanding quantity, unless a special function has been set in the order lines. The value entered in the Finished field is deducted from the Quantity and Outstanding fields.

The Finish date field in the order is set at the same time as Finished by, that shows who last finished something in the order. If the order is reset, this field is also reset.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Finish.
  3. Make settings in the dialog.
    Option Description
The whole order Finishing the whole order, or the rest of the order.
Barcode Finishing individual order lines based on Barcode no and quantity
Product no. Finishing individual order lines based on Product no and quantity
Trans. information 1 Finishing individual order lines based on Trans. information 1 and quantity
Quantity This is where you enter quantity when finishing based on Barcode, Product no and Trans. information 1.
  4. Click OK.

The finishing is processed and for sales orders reservations are made (unless pick lists have already been printed, which also means that reservations are made).

The Finished field in the Reservation and Order line table is updated. At the same time the order status is changed and shows that the order is finished and ready for the next step in the process - printouts (unless any of these printouts have been disabled using the Exempt from processing/printing setting).

Note:
The Quantity field only shows the outstanding quantity (the quantity that has not been finished). When the whole order is finished, there is a 0 (zero) in the field. Don’t change the value of this field, since this will be added as a new value to the original order quantity. The Total quantity field displays the original order quantity (the sum of the finished quantity and outstanding quantity).

Generate purchase/production orders

This processing is used to generate purchase or production orders from sales orders.

You can process several sales orders simultaneously by selecting them, and you don’t have to save edits before processing. Only order lines with product numbers and positive quantities will be processed.

Note:
You can’t combine Reserve from shipments with inflow qty. in the Reservation processing field in the Company information table and allocated orders. This means that you can’t reserve from inflow before running this processing, as the routine checks what is reserved from stock, and not the reserved quantity. You can on the other hand allocate first and later reserve against other shipments.

Selecting delivery methods

You select delivery methods in the same way as purchase estimates. If the Delivery method or Sup. no. field isn’t entered in the order lines, or the Sup. no. field isn’t in the order head, the delivery method with the highest priority is selected for the product. This means the delivery method that comes first using default sort (lowest sort sequence number).

If the Sup. no. is entered, Delivery method is restricted to that supplier. If there are several delivery methods for the same supplier of the product, the one with the highest priority is selected. If no delivery method is found, the process continues as if the row was empty.

Purchase and production orders

One purchase order is generated per supplier, and if necessary one production order. The Production field in the Delivery alternative table determines whether the generated order will have transaction type 6 - Purchase, 7 - Production, 2 - Hire or 3 - Loan.

An order line will be included in a production order instead of a purchase order if you select the Production field in the Delivery alternative table.

The orders are assigned the next available order numbers, and the Order type is set to 1 - Normal order. The Order date is set to the earliest of the order dates (transaction dates).

In the order, information about the supplier is also included and if necessary the recipient and remittent registered for the supplier. If the last two items are missing, information is used on either your own company or the actual supplier.

When generating an order, the Order no. field for the sales order is used in the Order basis no. field in the head of the purchase/production order. A non-obligatory foreign key from this field is defined for the Order table, so that you can for example call up information about the sales order.

In the order lines, information from the Product table is retrieved, and does the following:

  • Duplicates values from the order
  • Refers to the Price- and discount matrix
  • Calculates cost prices and saves the order, during which line amounts are also calculated and totalled in the order
  • Updates stock balances
  • Sets order statuses

The order lines are allocated Delivery method, Sup. no., Lead time, Transport time and Unit from the Delivery alternative table.

Product no., Description, Warehouse no. and Memo file name are included from the sales order line (Warehouse no. possibly from the order). If there are several for the same product, the Description and Memo file name are taken from the first sales order line.

The quantity is converted on the basis of the unit's Quantity per unit in the Unit table.

The Arrival/departure date is set as the Confirmed delivery date or Required delivery date from the sales order line or head, or if relevant the Trans. date or Order date.

The delivery date (from the supplier) is calculated by subtracting the Transport time from the Arrival/departure date field, and the Trans. date (purchase date) by subtracting the Lead time from the delivery date.

The new orders are saved as they are produced.

The different settings in the Generate purchase/production order options dialog are described in Purchase gen. processing.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Generate purchase/production orders.
  3. Make settings in the dialog.
Option Description
Copy delivery address from sales order

If you have selected this field, the Delivery associate no. and Name fields and addresses are copied from the order from where you run the Generate purchase/production orders process.

Note:
This selection is only available when you run the process menu choice from the Order table.
Use normal supplier from stock balance If you select this field, the supplier defined in the Normal supplier field in the Stock balance table is used when generating purchase orders.
Copy each order line separately

If you select this field, each order line will be copied separately to the purchase/production order, otherwise they will be accumulated per warehouse, supplier and product.

Note:
To activate the other selections that apply to order lines, you must select this.
One product per order If you select this field, each order line will be copied to an individual purchase/production order.
Copy processing method from sales order If you select this field, the processing method fields are copied from the order line from where you run the Generate purchase/production orders process. This can affect the processing and mean that you get other properties in the purchase/production order lines than when the order is created manually.
Copy sales order cost price to purchase order price If you select this field, the cost prices from the order line from where you run the Generate purchase/production orders process are transferred to the price field on purchase or production.
Copy organisational units from sales order

If you select this field, the organisational units are copied from the order line from where you run the Generate purchase/production orders process.

Note:
The order head is not updated with these organisational units.
Copy Seller/Buyer from sales order If you select this field, the seller/buyer is copied from the order line from where you run the Generate purchase/production orders process.
Rounding rules from stock balance If you select this field, the rounding rules from the Stock balance table are used. This requires that you at the very least fill out the Rounding field in the Stock balance table with the value 1, which means the number of times the purchase unit will be rounded off.
Refill to minimum stock level from stock balance If you select this field, the minimum stock balance is taken into consideration, if the amount is greater than the minimum stock balance in the order from where you are running the Generate purchase/production orders process.
Purchase economic order quantity from delivery alternative or stock balance If you have checked this field, the economic order quantity is taken into account from the Delivery alternative table or Stock balance table.

When you are in an order suggestion and you select this processing for a production order, the production time will be taken from the Delivery alternative table.

When creating a purchase or production order from a sales or production order, the system checks how much quantity is already reserved. The order is then made for the remaining amount, which is the total quantity needed minus what’s reserved.

Also, if you choose to not show the desired or confirmed delivery dates in the settings, when you make a new order, it will use the arrival date from the sales order as the required delivery date. The confirmed delivery date will be blank until you fill it in. Once you do, it updates the sales order with this date and marks the order line as ready for delivery.

Reference to purchase and production order in the sales order lines

The order number for the purchase or production order number is kept in the Allocated order no. field in the sales order lines, and the Allocated field is given the same quantity in both.

Reference to sales order in purchase and production order

The order number for the sales order is kept in the Order basis no. field in the head of the purchase/production order. A non-obligatory foreign key from this field is defined that refers retrospectively to the Order table. You can then call up information about the sales order in the purchase and production orders.

Order status

When managing orders, the Order status processing dialog is a crucial tool. It displays the current processing stages of an active order and allows you to exempt the order from certain processes.

Navigating the tabs and statuses

The dialog consists of three tabs:
  • Order status
  • Miscellaneous
  • Credit card order
Under the Order status tab, you’ll find statuses related to the order documents and the overall order flow.

Interacting with checkboxes

There are three columns of checkboxes:

  • Ready for
  • Performed
  • Excluded

You can edit the last column to exempt orders from processing, such as delaying invoicing until all parts are delivered.

The Performed check box indicates completed processes, while a clear Ready for box signifies that all processes are complete.

Utilising the Order status optimises printouts and processing, as Business NXT avoids unnecessary order line reviews.

Making selections and locking orders

  • Use bit operators in the Selection dialog to filter the orders displayed.
  • Orders are processed by Business NXT only if the Ready for check box is selected for the relevant process or printout, or if the order is locked by the process.

Understanding the Approval and Credit card order fields

The Approval status section integrates with Visma.net Approval, indicating the workflow status of an order.

The Credit card order section details the requirements for successful payment processing, such as the presence of an invoice reference and ISO currency code.

Note:
Orders transferred to an external application for processing will be marked as Locked / Transferred and cannot be edited until unlocked.

Recalculate prices

This processing is used for recalculating prices and discounts for one or several orders.

The processing can be used for:

  • Changes made in the Price- and discount matrix table
  • Amended information for orders

If From date and To date fields in the Price- and discount matrix table is defined, this processing can provide different return values, as a result of the current date now being higher than when the order lines were entered or last edited.

You can exclude products and order lines from being processed by this menu item by selecting Recalculate prices under Processing method/Restrictions.

Note:
The Do not resuggest price/discount setting under Processing method/Prices in the Product table doesn’t affect this processing.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Recalculate prices.

Received invoice

This processing is used to realise selected purchase orders.

When you have received the goods in a purchase order, you finish the order. The quantity of goods is then registered as Available in stock in the Stock balance and Shipment tables.

The goods remain as Unrealised stock inc. until you report receipt of invoice. The quantity also remains in the In purchase field in the Stock change table until you have received the invoice.

If you have selected Check incoming invoice no. in the Company information table, the invoice number you enter in the Received invoice dialog is checked against supplier transactions. If there's already an invoice with the same Invoice no. in the Supplier transaction table, or there is one from previous times when invoice was received in the order, you can't continue receiving the invoice in the dialog, and a message is displayed with information about the existing updated post.

When performing the Received invoice processing, you can do this on orders one by one and on a selection of orders.
Note:
The Received invoice processing only handles one order per invoice, not batch invoices.

Starting the Received invoice processing for complete purchase orders

  1. Open the Invoice receival layout.
  2. Select the purchase orders to be processed.
  3. Select processing - Received invoice to open the dialog.

    The following fields are displayed:

    Field Description
Invoice no The invoice number is automatically added in the dialog if entered on the order.
Invoice date The invoice date is automatically added in the dialog if entered on the order.
Value date The value date for the generated vouchers.
Due date The due date is calculated based on the Payment terms sup. field, but it can also be entered directly in the Due date on the order. It's recalculated if Invoice date is updated in the dialog.
Gross amount The amount to be paid to the supplier.
CID code The Customer identification code from the supplier invoice.
Net amount The invoice amount including VAT. The gross amount is recalculated if the net amount is changed.
VAT amount The total VAT amount is calculated based on each VAT code line value.
Rounding amount Calculated automatically when other amounts are changed.
Direct update Determines whether the batch is updated immediately or not.
  4. Move between selected orders using the Page up / Page down keys.
  5. Insert and, if needed, update the fields in the dialog. The values are automatically saved as drafts and enables you to move between the orders. The values are committed to the database when you select Confirm.
  6. You can exclude orders from Received invoice by deselecting the orders in the list.
  7. Finish by clicking Confirm.

If you click Cancel in the Received invoice dialog, no rows are processed and the values entered in the dialog are cleared.

Starting the Received invoice processing for individual goods lines in an order

In this scenario no dialog will be displayed.

  1. Update the invoice values (Invoice no., Invoice date, CID code) on the order.
  2. Select the rows for which you want to receive the invoice
  3. Select the Received invoice processing.

If you get several invoices for the same reservation line, new rows will be added in the Product transaction table, instead of totalling the quantity in the old one.

Received invoice for parts of the finished quantity in a purchase order line

In this scenario no dialog will be displayed.

  1. Update the invoice values (Invoice no., Invoice date, CID code) on the order.
  2. Enter how many units you have received in the Invoice NOW field for each of the individual products.
  3. Save the changes.

Reject invoice

This processing cancels order match and prevents the invoice from being processed.

This field is used for order match functionality.

Run the Reject invoice processing in order to reject an invoice.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Reject invoice.

All values in fields on an order line which have been set during the order match process are cleared.

Resave

This processing is used to resave selected orders.

This is done to reserve order lines that now fall within the lead time.

Note:
Make sure to run the Resave processing before running Update orders in the Order line table. This is to ensure that everything that can be reserved against stock is filled in before updating on the basis of the purchase and production order lines. Here you can make selections to limit how much data should be processed and sort to define the sequence of priority.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Resave.
  3. Make settings in the dialog.
    Option Description
    Date Today's date is suggested.
Expanded credit control Performs an additional control for credit blocks and overdue invoices. The credit limit will be checked in any case.
Message dialog boxes Enables display of dialogs during resaving. The Test result field in the order will be updated in any case.
  4. Click OK.

Reset

This functionality is still in development.

Returned

This processing is used when reserved items with transaction types 2 - Hire and 3 - Loan are returned.

If only parts of the order are returned, use the corresponding menu item in the Order line or Reservation table by selecting the rows that you have received back. You can also fill in the Return NOW fields in these tables.

In both of these tables you also have dedicated columns for registering wastage during loan/hire, either because the goods are to be discarded or because the customer is going to compensate for the goods. In this case you register the relevant quantity in the Discard NOW and/or Compensate NOW fields. When you save the order, the quantities in the Return NOW, Discard NOW and Compensate NOW fields are added to the values in the Returned, Discarded and Compensate fields in both the order lines and the reservation line.

When goods are returned, the reservations are cancelled. The Hired/Loaned and In hire order/In loan order fields in the Stock balance and Stock change tables are reduced accordingly. The quantity of discarded and replaced goods will reduce the stock level/remaining stock level and will be accumulated as Lost in the shipment.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Returned.

Send to Approval

This processing sends purchase requests to Visma.net Approval to be handled in the approval flow.

See also: Sending to Approval

Sent

This processing is used to label purchase orders that have been sent from the supplier.

See also: Sent

Split

This processing splits selected orders per customer/supplier.

If you override the customer or supplier number on order lines, the order must be split per customer or supplier before you can invoice or print a purchase order.

Each order will always be processed separately by being split into one order per customer (for sales, hire or loan orders) or per supplier (for purchases). Each order is provided with information about the current customer or supplier from the Associate table. The customer/supplier with the lowest customer/supplier number will be retained in the original order, while the others will be given new order numbers. The orders can be changed both before and after the split. The orders could be included in batch invoices.

Note:
If you want to override the customer or supplier number in the order lines, the customer or supplier number must NOT be specified in the order. Instead you can enter the employee number, seller/buyer or responsible as a common denominator in the order. Orders without a supplier/customer number will not be invoiced or printed on purchase orders or other order documents. This prevents orders from being processed by mistake. Nor can you have both sales and purchase orders in the same order. If you want to differentiate hires and loans from sales, you must enter this in separate orders and then split them using the processing Split in the Order table.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Split.

When you enter a task, it is natural that you enter the customer at order line level with, for example, the Empl. no. in the order head. You then enter the task in temporary entry orders, which are then divided into individual customer orders using the Split processing. The orders can be updated both before and after the split.

Transfer

This processing transfers order lines according to the selected order number.

It is important to design the layout correctly because, depending on the sequence of the Order line fields Product no. and Transferred to order no., you can produce two different functions:

  1. Product no. comes before Transferred to order no.: The values from the order in the entry order are copied down to the order line and fields from Transferred to order no. will not overwrite fields that have a value. Blank fields are filled in with values from this order.
  2. Transferred to order no. comes before Product no.: The fields that have a value from Transferred to order no. are retrieved and, when you enter the Product no., any other fields that are blank are filled in with values from the entry order.
Note:
When you use the Transferred to order no. field, the Order type is always imported from Transferred to order no., although not if the transaction type is 4 - Adjustment/internal issue or 5 - Further processing in the order line, as it must be possible to transfer an 4 - Adjustment/internal issue or 5 - Further processing line to another order.

You use this processing to transfer order lines in which the Transferred to order no. field is filled in to the orders specified.

Starting the processing

  1. Select the Order rows you want to process.
  2. In the Processing menu, select Transfer.
  3. Make settings in the dialog.
    Option Description
Transfer only finished order lines? Choose to transfer only finished orders or both finished and unfinished orders.

When you use this processing, order lines are transferred where the Transferred to order no. field is filled in. If you select Default Yes in transfer dialog or Default No in transfer dialog in the Order processing 1 field in the Company information table, a dialog where you must confirm the transfer won't appear.

Update invoice values

This processing updates original values with proposed values when working with order match.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Update invoice values.

All fields related to order match are updated with values from the supplier invoice.

Update values and receive invoice

This processing is used for order match functionality, and updates the existing purchase order with the values from the supplier invoice document and performs the invoice receival process.

Starting the processing

  1. Select the Order or Order line rows you want to process.
  2. In the Processing menu, select Update values and receive invoice.

All fields related to order match are updated with values from the supplier invoice and the invoice will be automatically received if the deviations are within the limits.
