Invoice receival

When you have received the goods in a purchase order, you finish the order. The quantity of goods is then registered as Available stock in the Stock balance and Shipment tables.

The goods remain as Unrealised stock inc. until you report receipt of invoice. The quantity also remains in the In purchase field in the Stock change table until you have received the invoice.

Note:
For orders in foreign currency where the exchange rate is to be changed before receiving an invoice, it has to be changed both in the order head and in the order lines. If not, posting to the general ledger will be inaccurate, since the value for the supplier ledger posting will be fetched from the order head and the value for the warehouse posting will be fetched from the order line.
When performing the Received invoice processing, you can do this on orders one by one and on a selection of orders.
Note:
The Received invoice processing only handles one order per invoice, not batch invoices.

Correcting costs

When receiving invoices product transactions for the shipment using temporary costs is processed in the following way:

If the cost price, freight or customs have been changed, the following is done:

  • The original values are referred to in dedicated fields in the transactions.
  • The ordinary fields are updated.
  • The cost price in the cost currency is defined from the cost currency in the transactions and the costs incurred are recalculated.
  • In the dialog for the Trans. status field in the Product transaction table, Costs corrected is selected and Temporary costs is not selected.

The process stops when the whole quantity for which you have received an invoice has been processed. If the quantity in the final transaction doesn't correspond with the remaining quantity for which you have received an invoice, the last transaction will be split as follows:

  • The processed quantity will be separated into a new transaction with the new costs. This is allocated the next free transaction number for the same order journal. The remaining quantity remains in the original transaction, and will be the first transaction to be processed next time an invoice is received.
