EUDR due diligence statement reference number
Under the EU Deforestation Regulation (EUDR), goods such as wood, cocoa, coffee and soya must be covered by a due diligence statement (DDS) filed in the EU information system, TRACES. Businesses further down the supply chain must receive and keep the statement's reference number, and pass it on when they sell the goods.
Business NXT keeps the reference number in the DDS reference number field. The reference belongs to a delivery, not to the product, so the same product carries different references over time.
Where the reference is stored
- Order line: References you enter yourself, and references received for non-stock items.
- Reservation: References received for stock items, and the reference of the stock picked for a sale.
- Shipment: The reference of the goods in stock, set on goods receipt.
- Product transaction: The reference for each stock movement, set when the transaction is created and can't be changed.
Receiving goods
When a supplier sends a Peppol despatch advice that carries a DDS reference number, processing the incoming document stores it on the purchase order: on the Reservation for stock items, and on the Order line for non-stock items. On goods receipt, the reference follows onto the shipment and the product transaction.
If the reference arrives some other way, for example on paper or by email, enter it in DDS reference number on the purchase order line before goods receipt. A reference entered on the order line replaces any reference received for that line in a despatch advice. For goods you produce yourself, enter the reference on the order line in the same way.
If a despatch advice carries DDS reference information that can't be recorded in full, for example several references for one line or a reference that is too long, DDS reference overflow is set in the order line's EDI status, and on goods receipt in the product transaction's Trans. status. Open the retained despatch advice for the complete information.
Selling goods
When you sell stock items, the reference follows the stock that is picked from the shipment to the sales order's reservation. For non-stock items and goods you produce yourself, enter the reference on the sales order line.
The references are included on the outgoing Peppol despatch advice and invoice sent through Visma.net AutoInvoice. A line can carry several references when it is delivered from more than one shipment.
Limitations
- Business NXT doesn't connect to TRACES. It doesn't file statements, retrieve them, or check that a reference is valid.
- The DDS verification number field isn't read from or included in any document. The regulation only requires the reference number to be passed on.
