Expand structure

This processing is used to expand a sub-structure of a structure into the order lines. It is necessary if you want stock control of the order lines.

The processing method of the structure head product can be set to automatically expand for specific transaction types.

Starting the processing

  1. Select the Order line rows you want to process.
  2. In the Processing menu, select Expand structure.

New order lines for the different sub-products are inserted in the same place as the structure item.

Note:
Even if you run this processing for select several rows of structures, only the upper row will be expanded.

Finish

This processing is used to finish a sales order, which is a completion of picking the order in the warehouse.

Processing method

This processing displays the Processing method dialog.

The Processing method dialog provides a large number of options that you can use to control how Business NXT processes each product.

The dialog is divided into the following tabs:

  • Warehousing
  • Serial number
  • Structure
  • Prices
  • Editing
  • Restrictions
  • Printout
  • Post process
  • Misc.

Each tab consists of a series of fields/options, such as Exempt from warehousing under the Warehousing tab.

You find the same options and tabs under the Processing menu in the Product table. In the order entry, you can override the checks you have made for each product, but you can't override the options that relate to structure goods. These can only be edited from the Product table.

Update orders

This processing is used to update sales orders based on selected purchase order lines (loose links), after having selected transaction type 6 - Purchase.

The purchase order lines must be sorted by product number and warehouse number (regardless of sequence), otherwise you will receive an error message.

You should run the Resave processing before running this processing so that as many reservations as possible are made against stock.

Starting the processing

  1. Select the Order line rows you want to process.
  2. In the Processing menu, select Update orders.

Business NXT skips the following selected order lines:

  • Order lines with a transaction type other than 6 - Purchase
  • Order lines with no remaining quantity (non-finished quantity) above the allocated quantity (hard links)
  • Cancelled order lines

For each purchase order line, Business NXT calculates:

  • First possible delivery date = current date + total lead time (in the purchase order line), and then moves it to the closest working day
  • Arrival/departure date = the purchase order line's arrival/departure date
  • Confirmed by supplier and Sent from supplier if the fields for confirmed quantity and date sent have a value

This is done for the benefit of order lines that are to be delivered collectively. The order lines should then be given the latest of the confirmed delivery dates when picking the whole order (not part delivery), using delivery groups, picking complete structures or picking the same fraction of structure lines.

When the order lines are split by Update orders, the new order lines are given the order line status Accepted by us. This doesn't apply if you have selected Accept changes manually in the Order options dialog in the order head. The order lines are then given the status Ready for delivery messages.

The sales order lines aren't split if Confirmed delivery date, Confirmed by supplier and Sent from supplier in the Order line status dialog are the same as in the order lines.

Orders affected

For every product/warehouse combination (break) from the sorted purchase order lines, Business NXT makes the first selection from the following sales order lines:

  • Order lines that aren't reserved
  • Order lines within the lead time
  • Order lines where Loose allocation has been selected in the Order line status dialog.

Sales order lines/Purchase order lines

The sales order lines are updated on the basis of purchase order lines:

  • Confirmed delivery date in sales order lines is set equal to Arrival/departure date in purchase order lines, but no earlier than the Required delivery date.
  • Business NXT simultaneously copies the order line statuses for Confirmed by supplier and Sent from supplier.
  • The fields for cost prices are copied if this has been selected in the Update order costs field in the Company information table.

When you select Update orders (loose links) in the Processing menu, the following happens:

  • Loose allocation is selected in the Order line status field
  • Sales order lines are split if they are partly covered by the remaining non-allocated/allocated, non-finished quantity in the purchase order lines
  • It is referred to the original confirmed delivery date when saving, if this field hasn't already been filled in. This only happens in the sales order lines if Confirmed by supplier has been selected in the Order line status field, or if the order line is reserved.

Update values and receive invoice

This processing is used for order match functionality, and updates the existing purchase order with the values from the supplier invoice document and performs the invoice receival process.

Withdraw picking without reservation

You use this processing when you want to withdraw reservations for products with serial numbers.

Business NXT usually reserves the product when you run a pick list, but for products with a serial number, you don't want that kind of allocation. You only want to register the serial number upon finishing. As picking serial numbers doesn't produce reservation lines, you can't use Pick NOW or the processing menu item Withdraw pick list in this instance, as the reservation lines are the key to this function. This is the reason for the separate processing in the Order line table to withdraw these reservations.

Note:
You can't use the field in this instance, as it is based on the reservation lines. The same applies for the Withdraw picking processing in the Pick list table, which also uses the reservation lines.

Starting the processing

  1. Select the Order line rows you want to process.
  2. In the Processing menu, select Withdraw picking without reservation.

Everything that is picked is reset in the Picked without reservation field in the order line, and the fields in the Stock balance table are updated with the number you have picked in the order line.
