Quantity

When the Credit note option is selected in the order header, Business NXT automatically reverses the sign of the quantities entered in the fields. This means that a positive quantity becomes negative, and vice versa.

This doesn't happen if you have checked Do not change sign when crediting in the Company information table.

If you enter or change an invoiceable or incurred amount, this amount is duplicated into the corresponding opposite field, as long as you haven't explicitly changed or deleted the value in the other field.

The Quantity field is reduced upon finishing in such a way that the outstanding quantity is displayed as the quantity in the order lines. The line amounts and order totals in the order head are recalculated. At the same time the incurred quantity is scaled by the same relative ratio and incurred costs are recalculated.

In printouts, the Quantity field is used to display the current quantity to which the printout relates, i.e. the quantity requested, ordered, quoted, confirmed, picked, packed, shipped or invoiced/realised. This quantity is totalled in its own quantity field for each document type in the order line when you approve the printout. If you need to display the outstanding quantity at the same time you can call up the Outstanding field. You will also find a corresponding field for incurred outstanding quantities, entitled Incurred outstanding. The Finished and Incurred finished fields show how many units have been finished. You will also find a field that displays the total quantity, which is the sum of the finished quantity and the outstanding quantity, both for invoiceable and incurred quantities.

If not enough units are available at the relevant delivery time, you will get a warning. At the same time as Business NXT checks that the quantity is available, an average cost price is retrieved from the Stock balance table to the order line.

Prices and discounts

When you type in or change a quantity, prices and discounts are suggested from the Price- and discount matrix.

The cost price from the price- and discount matrix differs from any earlier cost price in the order line, including the average cost price from the Stock balance table for issuing goods and stock transfers. If you want to, you can select the Do not resuggest price/discount field for the product on the Prices tab in the Processing method dialog.

If you set a separate cost price in the Reservation table before finishing, this is overwritten with the cost price of the shipment. The cost price is transferred to the Product transaction table together with the shipment number, serial number, location and use by date.

The discounts can be entered in percent and/or amounts per unit. Additions are entered with a minus sign. There is also an extra set of invoiceable discount fields (Disc. % and Disc. amount), which can be calculated from the same basis as the first discount or after deducting it. This depends on whether a chain discount is checked in the Company information table.

Quantity and price are multiplied, and line discounts are deducted and entered in the amount field. The line amounts are accumulated in the order head, the total discount is deducted and the amount is displayed as a rough total. When saving, exact order sums are calculated which take into account distributed group and total discounts, special taxes and VAT.

In the same way, an incurred quantity is multiplied by the cost price and cost discounts are deducted to arrive at incurred costs in the order lines and in the order head in the case of a sale (transaction type 1 - Sales). Gross profit and margins will be calculated. The cost prices are also used to calculate stock values.

Processing cost prices

Business NXT processes cost prices as follows:

Purchase

Business NXT suggests the purchase price after discounts as the cost price. In the Product table you can also enter a Cost price addition %. This is added to the net purchase price when calculating the cost price.

Production order

For finished goods, Business NXT retrieves the cost price from the Price- and discount matrix table, and for goods consumption lines the cost price is retrieved from the Stock balance table.

Sales order

Business NXT retrieves the calculated cost price from the Stock balance table. The cost price from the Shipment table is entered in the Reservation table as soon as a product from a particular shipment is reserved. The cost price is updated when you enter the shipment number directly in the order line. The cost price is transferred to the Product transaction table together with the shipment number, serial number, location and use by date.

There are several options for controlling how cost price is calculated in the Company information table and in the product's processing method.

If there are no products in stock, you can automatically bring up a suggestion for cost price from the Price- and discount matrix table instead of the Stock balance's FIFO price by selecting Cost price from the price and discount matrix if sold out in the Price/discount processing field in the Company information table.

You can set up the following parameters for the product in Processing method on the Prices tab.

  • Get cost price from price and discount matrix, which will then suggest a cost price for the order line by using the shipment's cost price. This price is also transferred to product transactions and voucher line.
  • Calculate avg. cost price on the order line, which then retrieves the cost price either from the stock balance or the Price- and discount matrix depending on the settings referred to above. In connection with a reservation, pick list or finish, an average cost price will be calculated based on the reservations and the order line will be updated.
  • Calculate cost from the order line's cost price. Will always use what is shown on the order line, even if reservations show something different. This removes the possibility of updating cost price from invoice receipt after the sale invoice has been printed.

Appointments

Business NXT calculates the average cost price when you register stock goods for appointments. The cost price of stock products is retrieved from the FIFO field in the Stock balance table. If you want to retrieve the cost price from the Price- and discount matrix table, you select Get cost price from price and discount matrix on the Prices tab in the Processing method dialog.

If you have selected the Cost price from the price and discount matrix if sold out in the Price/discount processing field in the Company information table and there are no reservable goods in stock, the cost price is taken from the Price- and discount matrix table when Physical stock is 0 or negative.

Business NXT doesn't retrieve the cost price if you select the Do not retrieve cost price on sale on the Prices tab in the Processing method dialog.

Cost price in currency

If you want the cost price in currency you must select Cost price in currency in the Order processing field in the Company information table. Business NXT calculates the cost price in currency as an average of the shipments that have the same currency number. The most recently entered cost price in currency is stored together with the corresponding currency number and exchange rate. Incurred costs are totalled and posted in both foreign and domestic currency.

When you use Cost price in currency, the purchase order sets the Cost currency no. field equal to Currency no.. If you make changes in the Currency no. or Exchange rate fields, the value is copied to the Cost currency no. and Cost exchange rate fields. If you have selected Reduplicate from order head to order lines when storing in the Order processing dialog in the Company information table, changes in the Currency no. and Exchange rate fields will affect all currency fields in the Order, Order line and Reservation fields. You should then implement the exchange rate change in the Exchange rate field in the order head.

When you are not using Cost price in currency the cost price will always use the default currency in the Cost currency no. field.
