Credit note

If you, for example, want to issue a credit, select Credit note in the Order options field in the order head.

If Credit note is selected, the opposite sign is automatically used for the values typed in the quantity fields.

Other fields in which the signs are reversed are:

  • Length
  • Area
  • Volume
  • Net weight
  • Tare
  • Gross weight

If you want to enter positive order lines in a credit note (or negative ones in an invoice) you must enter these using a negative sign in the Quantity field.

If you, for example, issue a credit because of a price rebate, the product's gross profit will only be correct if you first credit the amount originally invoiced, and then invoice the same goods at the new price.

You can call up the Credit note field in the order head that visualises the same check box selection as you make in the Order options field. If you change the Credit note field, the Order options field is also updated.

If you want the credit note to refer to a specific invoice, enter the invoice number in the Invoice reference field in the order head. When you enter the product number in this order line you call up the original Shipment no., Serial no., Location and Use by date from the Product transaction table. The products will then be returned to the original shipment number. If you haven’t entered the shipment number in the order line, the products will be posted to a shipment of their own under a relevant Warehouse no. at the end of the Shipment table.

Sometimes you need to enter a credit note without updating the warehouse, for example, when a customer returns goods due to damage in transit. In this case, select Processing > Processing method, and under Warehouse, select Exempt from warehousing.

Invoice fees are automatically deducted for credit notes, unless you select Exempt from invoice fee.

Crediting decrease order lines

Crediting (negative quantity) decrease order lines is processed as "Inflow" between entry and finishing, in the same way as for purchase and production. Shipment, Reservation and Product transaction rows are created. In the Stock balance table, the Purchased/prod. not received field is calculated as In purchase + In production + Credit in order + Credit in hire order + Credit in loan order + Credit expected loss + Credit in order to prod. - Reserved from inflow.

For the product transactions, Inflow is displayed with a positive sign if there is an increase, and a negative sign if there is a decrease (in the same way as with the Stock change field).
Note:
The cost price is still imported from Product transaction or Stock balance, and doesn't import manual updating of the cost price when invoicing.
