Settlement invoice

In addition to ongoing order entry and invoicing, Business NXT provides the facility for invoicing on account with subsequent settlement. An example of the use of the invoice plan with settlement is prepayment of craftsmen.

You enter the invoice plan as a normal order and set the value 1 - On account/settlement in the Inv. according to plan field in the order head.

The products you use must be exempt from warehousing. Lines in the invoice plan cannot be processed for warehousing and qualify for invoicing without being finished. The invoice is debited any previously invoiced amounts and special lines in the printout where previous unsettled on account entries are reversed.

When you print fixed price or on account invoices, you can select that the invoice date will be retrieved from the plan date (transaction date) of the invoicing plan lines. You do this in the Invoice date from invoice plan field under the Options tab in the Order documents dialog.

Business NXT then produces one invoice per plan date in the invoice plan lines, so that an order can be split into several invoices.

The transaction date controls the number of invoice plan lines that are printed. Business NXT processes the dates that fall earlier or on the same date under the General tab in the Order documents dialog.

Example

You have to print two invoices with an invoice date the same as the transaction date from the lines. Business NXT changes plan type from 1 - On account/settlement to 5 - Invoiced on account after invoicing.

For the settlement date you enter a settlement line (plan type 4 - Settlement) so that the invoice is deducted from what was previously invoiced. On the settlement line you only register the settlement date in the Transaction date field and plan type 4 - Settlement.
Note:
Business NXT uses invoice plan lines with plan type 5 - Invoiced on account to find previous on account entries. These must not be deleted or modified before they have been settled. In addition, you enter a new order line with the actual costs. You must remember to finish this line.
In the case of settlement invoicing, voucher lines are posted to the accounts and transactions to statistics with revenue and costs from the standard order lines, and carrying-back of revenue and costs from the on account entries.
Note:
All order lines with a plan type are ready for invoicing when the transaction date is equal to or less than the invoice date you selected in the invoice printout dialog, regardless of whether the order is a normal order or a direct order. The same rules apply for both normal and direct invoicing for order lines with no plan type. This means that you have less control over settlement and fixed price invoices when you use direct order.
