Allocated order process

You can generate purchase orders and production orders on the basis of sales orders. You have access to the processing both from the sales order and from the sales order lines.

Generate order creates a purchase/production order, depending on the parameters defined for the product. You can process several sales orders simultaneously by selecting them. Only order lines with product number and positive quantities will be processed.

You select delivery alternatives in the same way as for purchase estimates. If the Delivery alternative or Sup. no. field is not entered in the sales order lines, or the Sup. no. field is not in the sales order head, the delivery alternative with the highest priority is selected for the product. This means the delivery alternative that comes first using default sort (lowest sort sequence number). If the Sup. no. is entered, Delivery alternative is restricted to that supplier. If there are several delivery alternatives for the same supplier of the product, the one with the highest priority is selected. If no delivery alternative is found, the process continues as if it were an empty row.

One purchase order is generated per supplier, and if necessary one production order.

An order line will be included in a production order instead of a purchase order if you select the Production field in the Delivery alternative table. You can set up an internal supplier in a separate number series to create breaks in various production orders. Otherwise these will end up in the same production orders, which we do not recommend. This can also be resolved by only selecting one product when generating purchase/production orders. Business NXT performs an automatic expansion of a production product if you have selected Production under Expand structure on transaction type in the Product table.

The orders are assigned the next available order numbers, and the Order type is set to 1 - Normal order. The Order date is set to the earliest of the order dates (transaction dates).

When generating an order, the Order no. field for the sales order is used in the Order basis no. field in the head of the purchase/production order. A non-obligatory foreign key from this field is defined for the Order table, so that you can for example call up information about the sales order. It is referred to the purchase/production order's order number in the Allocated order no. field in the sales order lines (hard links), and the Allocated field is given the same quantity in both.

In the order lines, information from the Product table is retrieved, and does the following:

  • Duplicates values from the order
  • Refers to the Price- and discount matrix
  • Calculates cost prices and saves the order, during which line amounts are also calculated and totalled in the order
  • Updates stock balances
  • Sets order statuses

The order lines are allocated Sup. no., Lead time, Transport time and Purch. unit from the Delivery alternative table.

Product no., Description and Warehouse no. are included from the sales order line (Warehouse no. possibly from the order). If there are several for the same product, the Description is taken from the first sales order line.

The quantity is converted on the basis of the unit's Quantity per unit in the Unit table.

The Arrival/departure date is set as the Confirmed delivery date or Required delivery date from the sales order line or head, or if relevant the Trans. date or Order date.

The delivery date (from the supplier) is calculated by subtracting the Transport time from the Arrival/departure date field, and the Trans. date (purchase date) by subtracting the Lead time from the delivery date.

Starting the processing

  1. Select the orders or order lines you want to process.
  2. In the Processing menu, select Generate purchase/production orders.
  3. Specify various parameters in the Generate purchase/production orders dialog. The different settings are described in the Purchase gen. processing in the Company information table. See also: Purchase gen. processing
  4. Click OK.

The new orders are saved as they are produced.

Note:
You can use the option Use normal supplier from stock balance in the processing dialog to override the delivery alternative supplier. The selected supplier is then retrieved on the basis of the following:
  1. The normal supplier in the Stock balance table
  2. Delivery alternative, first priority
Note:
If you want to calculate the lead time on the basis of lead time and transport time, the delivery alternatives have to contain the combination of suppliers and products. If the Normal supplier field is completed in the Stock balance table, this supplier must also exist in the Delivery alternative table in order to get a correct calculation of the lead time.
