Batch invoicing
A batch invoice combines more than one sales order for the same customer in one invoice document.
Batch invoicing can be enabled for specific customers by selecting the Batch invoice option in the Customer options field in the Associate table. You can override it on the order by removing the Batch invoice option from the Order options field.
In order to print batch invoices you need to make following settings, in addition to the Order options settings:
- Open the Advanced settings in the Invoices/credit notes print dialog.
- Go to the Invoicing tab.
- Select Batch invoices.
-
Grouping by order and Page break by
order are optional additional settings. Note:The Grouping by order option creates an order head page element for each order, and a new column heading on the batch invoice.
The orders require the following sorting:
- Invoice customer no.
- Payment terms
- Currency no.
Only invoices with the same payment terms, due date and currency will be grouped and printed in the same invoice. In addition, if you are using both net and gross orders, you need to add sorting on the Gross order option in the Order options field.
If you have chain invoicing you can use a batch invoice for the chains.
The discount which is specified in the Total disc. % cust. field in the Associate table for Invoice customer no. is a chain discount for a batch invoice.
You sort like this:
- Select the Invoice customer number column.
- Choose Home > Sort > Sort from the menu bar. The Sorting dialog is displayed.
- Click Add, select ascending order and check Break lines in the dialog.
- Click OK.
- Click Add again, and select Payment terms in the Column list box. Then select ascending order, check Break lines and click on OK.
- Repeat point 5 to specify sort criteria for the Currency field.
Batch invoice with sum total order lines
With batch invoicing, you have the opportunity of displaying sum total order lines per order. If you sort with breaks, for example by order number, in the order line page element when you want to print batch invoices, Business NXT displays the order lines with sums per order. Break lines are displayed with a grey background.
Batch invoice with page break for each order
If you have selected the Page break by order option in the Invoicing tab in the order document dialog, you will get a page break for each order. This option is greyed out if you haven't selected the Grouping by order option. The Grouping by order option is greyed out if you haven't selected the Batch invoices option.
