Sales order registration
After an order has been placed the first step in the sales order process is to register the order into the system. When it is available it will be used to track and to update the progress of the sales order process.
Sales order registration can be performed in the standard sales order layout or in a customised layout. Here we will go through how to enter a sales order in the standard sales order layout. Orders created in the standard layout will get order type 1 - Normal order and transaction type 1 - Sales.
Starting the processing
- Open the sales order layout, and select the Sales order tab.
- The order entry window appears on screen and you can start entering
the order.
- Click + in the Order no. field to generate a new number. The Transaction type and Order type fields will be completed automatically.
- Add the customer in the Cust. no. field. You can enter the customer number, customer name or parts of these in the Cust. no. field and press Enter to open the Search for Cust. no. dialog. Double-clicking or pressing * to also opens the “Search for Cust. no. dialog. When you enter the customer number, several other fields are automatically completed with the information about the customer entered in the Associate table. You can change all items of information.
- You start by filling in the order head with information applying in general to the whole order and information that is the same for all, or most, order lines. Several of the items that you enter in the order head can be overridden in the individual order lines.
Note:If you have selected Block credit suspension on entry, Business NXT prevents submission of orders for customers who have been denied credit. You can select this option in the Credit control field in the Company information table. However, you are allowed to enter quotation orders for customers who have been denied credit. The block takes effect again if you try to change a quotation order into an ordinary order. -
When you create a new order, Business NXT fills in suggested values in the following fields:
- Transaction type
- Order type
- Order date/Order week
- Required delivery date/Required delivery week
- Confirmed delivery date/Confirmed delivery week
- Warehouse no.
- Currency no. and Exchange rate
- Cost currency no. and Cost exchange rate
- If you want the order line to be reserved when saving, double-click in the Order options field and select Reserve on save in the dialog. This is also possible to set up on individual products in the Product table under Processing > Processing method > Warehouse.
- You enter the individual order lines in the Order line page element. In the standard sales order layout you can also see the Stock balance table/page element to the right of the order line table, which is updated as you enter information on the individual order lines. In this way, you will always be able to see which goods are available at any given time in each warehouse.
- Fill in all the fields that you want to.
- Click Save.
You can now continue to process the order using one of the options under Processing, print any order documents or enter a new order. If you select Processing > Order status (or un-hide and double-click in the fields Order status 1/Order status 2 in the Order table), you can see which actions and printouts the order has generated and which it is ready for.
The different printouts are distributed between the times for entry, picking, finishing and realising.
