Users
User permissions in Business NXT are managed using roles and access groups.
Users are administered on different levels:
- Customer level, where you grant access to the application, and assign roles and layout groups
- Application level, where you grant access to access groups
- Company level, where you adapt access and set desired restrictions
Customer level
The settings you make on customer level apply to all companies for that customer. The settings include roles and layout groups.
Roles
You can assign two roles: Application access and System supervisor. The roles are assigned in Visma.net Admin.
Everyone that is to use Business NXT needs to be given the Application access role.
The System supervisor role includes special permissions such as editing access groups and should only be given to a limited number of users. Since the role is on customer level, a System supervisor will have this role for all the companies that they have access to.
Layout groups
Different user types often have different needs when it comes to layouts, for example, an accountant may be interested in other data than the warehouse manager.
You define a layout group in the Layout group table in Business NXT. Then you add layouts to this group by selecting Manage layouts in the left-hand side menu.
You can edit the access to a layout or layout group in the Layout manager, by clicking on the lock icon at the far right of the layout or layout group. You can grant access to all users, to a layout group or to an individual user, and also limit the access to all companies, a particular company group or a single company.
Application level
On this level, you manage access group membership based on roles and/or company functions. Access groups are created and edited in Business NXT, but are assigned in Visma.net Admin.
Company level
Access groups are created on company level and administered in Business NXT.
You find the access group management under Management > Access management in the menu.
You can limit access on several different levels, for example:
- Access to tables and particular columns
- Permission to view, edit or delete data
- Privilege to execute processings and use other functions, such as design mode
Two-factor authentication
It is recommended to enable two-factor authentication in order to protect sensitive data from unauthorised access. You set up two-factor authentication in Visma.net Admin.
