Item location processings

The following processings are available from the Item location table.

Correct stock balances

This processing is used to correct stock balances for selected rows after stock count, and update shipments and product transactions.

Note:
When correcting stock balances from the Item location table there is no validation of if the maximum quantity in base unit, weight or volume values are exceeded.

The processing performs the following operations:

  • The Countable quantity field is cleared.
  • The stock is set equal to Counted quantity, and the Count difference field is cleared.
  • Shipments and product transactions are updated. In the event of a reduction in stock, the count difference will be taken from the shipments in the default FIFO order, and in the event of an increase, new shipments will be created with a cost price equal to the average cost price for the product in the warehouse. For the transactions, the Transaction type is set to 4 - Adjustment/internal issue with a negative quantity field if the stock increases and the shipments are given the Normal supplier and Normal location from the Stock balance table.
  • The Trans. date is set to the present date, and the Cost currency no. is set equal to the default currency specified in the Company information table. Information on the transactions from the shipments and products is also provided.
  • If there is not a sufficient quantity of available units when you try to reduce the stock balance, which means that Physical stock minus Counted quantity is greater than Available stock, you will see a message stating that the stock cannot be reduced because of reservations. You will also see how many stock balances this relates to.
  • The values in the Counted quantity, Count date and Counted by fields remain in these rows so that you can see by how much the stock balance is to be corrected in the Count difference field. If you want to reduce the stock levels further, you must cancel reservations.
  • When you run the processing from the Item location table, the During stock take field is selected if it is selected under Stock balance status in the Stock balance table. If you have selected the During stock take field, there will be no processing of the stock levels of the shipments.

Starting the processing

  1. Select the Item location rows you want to process.

  2. In the Processing menu, select Correct stock balances.

The rows/products you have selected are now up to date, and you can enter orders, invoices, etc. again for these products.

Transfer to stock count

The Transfer to stock count processing sets the selected posts to status During stock take.

During a physical count of the inventory levels, the stock needs to be locked in the system in order to avoid transactions during the count. Using this processing locks the selected rows for any further processing.

The processing performs the following operations:

  • The Countable quantity field in the Item location table is set equal to Physical stock minus Finished not yet realised in the decrease order lines (unrealised stock reduction). This is summed up for each location that is entered in the Shipment table.

  • In the fields Stock balance status, Shipment status and Item location processing, During stock take and also Based on locations in stock balances are selected.

  • If you run the processing from the Stock balance table and a location cannot be found, it is created in the Location and Item location tables. If there is a shipment without a location, an Item location record will be created for this product with a standard item location.

Note:
Standard location is set in the Company information table.

Starting the processing

  1. Select the Item location rows you want to process.
  2. Enter the date for the stock count in the Value date field in the dialog.

The posts in the Item location, Shipment and Stock balance tables are now labelled as During stock take. When processing order lines it is not possible to make any reservations of these shipments until they have been counted, which you do by entering the Counted quantity, and running the Correct stock balances processing.
