Some tables with essential basic information for the system are common for logistics and accounting purposes. This is where you find and maintain data about companies, associates, currencies, vouchers and much more.
Organisational units
In order to achieve better overall profitability and gain a clear picture of which business areas create profit or loss for a company, it's often useful to divide the company into organisational units.
Adaptation of organisational units
There are some common adaptations you may want to consider for your organisational units.
Adding a permanent link to an organisational unit
You can refer to an organisational unit when entering customers, suppliers and employees in the Associate table to establish a permanent link to an organisational unit within one or more organisational unit classes.

- Company information
  You can add a lot of different kind of information about the company to the Company information table.
- Postal address
  This table contains one row for each postal address.
- Country
  This table contains one row for each country, with options for invoicing, reminders and interest calculation.
- Country-specific validation
- IBAN
  An IBAN account check is performed in bank account fields.
- Language
  This table contains one row for each language.
- Texts
  You can customise texts for local markets or other purposes.
- Currency
  This table contains one row for each currency.
- Currency processings
  The following processings are available from the Currency table.
- Currency rate
  You can add one row for each date exchange rates change in this table.
- Currency rate 2
  You can add one row for each date exchange rates between pairs of currencies change in this table.
- Payment terms
  Payment terms are listed in this table, and you can define corresponding texts in the Text table.
- VAT code
  This table contains one row for each tax code.
- VAT code processings
  The following processings are available from the VAT code table.
- Tax code automatic entry
  You use this table to define how amounts entered on certain VAT codes are to be distributed on multiple VAT codes and VAT numbers.
- VAT rate
  This table contains one row for each VAT, with rates and accounts.
- Inv. tax
  This table contains one row for each investment tax, with rates and accounts.
- Voucher series
  This table contains one row for each voucher series.
- Unused/reserved number
  In this table, intervals of unused and reserved numbers per voucher series are collected.
- Account no. series
  This table is used to define the account type for intervals of account numbers.
- Company VAT register
  This table contains company VAT information per country when sending invoices, product catalogues, order response and despatch advice through Visma.net AutoInvoice.
- Memo
  This table contains one row for each memo.
- Associates
  In Business NXT, associates may be customers, suppliers, employees or other persons or organisations that the company is in contact with.
- Organisational units
  In order to achieve better overall profitability and gain a clear picture of which business areas create profit or loss for a company, it's often useful to divide the company into organisational units.

    In Business NXT, there are 12 tables for organisational units, with one row for each organisational unit.
  - Creating organisational units
    Organisational units are created when you define the organisational units you require in the Company information table.
  - Adaptation of organisational units
    There are some common adaptations you may want to consider for your organisational units.
    - Adding a hierarchy for organisational units
      You can define a hierarchy on two levels of the organisational units within the same class; for example a main project and a sub project.
    - Adding organisational unit groups
      You can group the organisational units using the organisational units Gr. 1 - Gr. 12 fields, to, for example, print the profit and loss and balance for each of the groups or for a selection.
    - Adding a permanent link to an organisational unit
      You can refer to an organisational unit when entering customers, suppliers and employees in the Associate table to establish a permanent link to an organisational unit within one or more organisational unit classes.
    - Adding a time limit to an organisational unit
      The organisational units can use the financial accounting year as defined in the Accounting period table, or you can specify time limits with start and end dates for each individual organisational unit.
    - Suspending organisational units
      You can suspend an organisational unit from further processing, to, for example, stop further entries on a completed project, but still maintain the option to report on the project.
  - Deleting organisational units
    You can delete an organisational unit using a particular procedure.
  - Organisational units on vouchers
    The organisational unit specified in the General ledger account table is suggested whenever a voucher is entered for the relevant account.

    The Organisational unit 2 table includes specific information about this unit.

    The Distribution key table contains one row for each distribution key.
  - Distribution line
    This table is used to define shares for combinations of organisational units, per distribution key.

Adding a permanent link to an organisational unit

You can refer to an organisational unit when entering customers, suppliers and employees in the Associate table to establish a permanent link to an organisational unit within one or more organisational unit classes.

You can use this later as a selection criterion, for example to print reports for all projects for which an employee is responsible or for a particular customer.
