Create all balance periods

One record per month is generated in the General ledger balance table when you are running the Create acc balances for all periods processing in the Accounting period table.

If the check box is not selected then only one record is created for the whole year.

Note:

You need to select the Create all balance periods check box in the Balance processing field in the General ledger account table as well. Otherwise the settings in the organisational unit table will not be taken into consideration when balances are created.

If the customer no. and/or supplier no. field has been completed for the organisational unit, a contact person will be suggested based on these fields. You can manually override the contact person.

The currency number will be suggested in the voucher lines if the field is not already completed.

The hierarchy can be used in reports for organisational units. You can group on main units and add summary lines for the main units.

On the Editing menu, click Memo to create a new memo or to view the existing memo. The memo file name is saved in this text box.

Suspended

The organisational unit cannot be used in any tables containing organisational units. Any entry of the organisational unit will be rejected and a message that it is suspended will be displayed.

When updating vouchers, an error code is attached to the transactions and the updated voucher line if the organisational unit was suspended after the voucher was entered (or ceased to exist).

You can still obtain reports for transactions that have already been entered.

Responsible approval

If an employee works in several departments, only the project manager can approve his or her hours. You must also enter the project manager in the Responsible field, so that the project manager can run the Approve Time Schedule processing in the Resource table.

This field is used in combination with the Case organisational units field in the Company information table.

No access to delete

You will not be able to delete the organisational unit, even if there are no transactions linked to it.

This field is intended for use when another program has imported the data and you want to prevent the row being deleted by mistake.

There are no restrictions on who can select or clear this field.

If you enter a Post code that exists in the Postal address table, the Postal area field is filled in and the cursor jumps to the next field. If the Post code does not exist you will see a warning in the Status bar and the cursor will then stop in the Postal area field so you can type in the Postal area manually.

The Empl. no. is a unique number identifying one specific Employee.
