Updated voucher processings

The following processings are available from the Updated voucher table.

Attach documents

This processing is used to upload documents and connect them to your transaction.

You add documents from My files. You can also add the files directly into the Attach documents dialog by using drag and drop. The documents are added to the records with the same voucher number. You can also split, merge or delete documents. Different parameters can be selected depending on from which table you execute the processing. You can also view your files from this dialog.

Starting the processing

  1. Select the Updated voucher rows you want to process.
  2. In the Processing menu, select Attach documents.
  3. Select the My files tab in the dialog.
  4. If needed, upload your file using drag and drop.
  5. Select the document, click Attach and finish by clicking Done.

Create new voucher

This processing is used to create a new voucher, which can be used to correct the selected voucher.

When you run the Create new voucher processing from the Updated voucher table, the lines are assigned a new line number and the cross reference is therefore not copied. When you run the Create new batch processing from the Updated batch table, the whole batch is copied.
Note:
When creating a new voucher from Updated voucher with Value date older than suspension date, but within same period as suspension date, it is possible to update it. When the updating is done, checks are made against the period in which the lock date is set, not against the actual date that occurs if you enter the posting date is manually on a voucher.

Starting the processing

  1. Select the Updated voucher rows you want to process.
  2. In the Processing menu, select Create new voucher.
  3. Make settings in the dialog.
    Option Description
Switch debit/credit Select if debit and credit are to change places, so that the new voucher lines balance out the original ones.
    Note:
If you have used the Per. Credit field in the voucher lines, you have to add or remove the flag in this field manually in order to select Switch debit/credit, to prevent that the account distribution is reversed incorrectly.
The new batches are assigned consecutive batch numbers and the origin code 14 - Previous batch. The Original run no. field is also included for the new batch.
    Use original exchange rate 2

If you select this, the copied voucher line gets a check in the Do not update exchange rate from voucher date field under Trans. status, and the Update exchange rate from voucher date field under Voucher type processing in the Voucher type table is deselected.

This field is selected by default. You can ignore this setting unless currency 2 is being used.

Depending on what you want to do with the copied vouchers, you must either deselect the setting in the dialog when copying, or change the copied voucher lines afterwards. It is usual enable this setting when reversing voucher lines.

This setting should not be enabled if the copied batch is to be used as a template, and will be updated in another period with a new voucher date, and will recalculate exchange rates.

View payment details

This processing displays payment details for incoming payments (customer transactions) imported from Visma.net AutoPay.

The window with payment details can be left open and will be refreshed when moving between rows. The payment information is retrieved from the File data field in the Visma.net AutoPay log table.

An internal reference used by the system to find the payment, is placed in the AutoPay payment reference field in the Voucher table.

Starting the processing

  1. Select the Updated voucher rows you want to process.
  2. In the Processing menu, select View payment details.
