How an invoice is created and sent to Visma.net AutoInvoice
The basic flow of invoicing through Visma.net AutoInvoice as a single process goes as follows:
- Print invoice in the Order table
- The invoice data is written to the Order document tables when the invoice is approved
- The AutoInvoice status field in the Order document table is set to 2 - Pending
- The processing Send to AutoInvoice is run
- The invoice XML is created with PDF data generated and embedded
- The invoice is delivered to Visma.net AutoInvoice
- AutoInvoice status is set to 1 - Transferred and AutoInvoice document ID has a value
To have an invoice printed and sent as a single operation from the Order table, the following
requirements must be followed:
- The order must have Document delivery method for invoice set to AutoInvoice
- When printing the invoice, the print option must be set to “Print”. If something else is chosen, the document delivery method will be overridden by the print method used
- The Company information table dialog Document copies option Only approval - print later from document archive must be off
So what happens if these are not followed?
If either requirement 1 or 2 are not followed:
When printing the invoice, and “Document copies” has been set for Invoices, invoice
data is written to the Order document table, but no
AutoInvoice status
will be set. If the invoice has not been printed in an electronic format (print form
identified as Visma XML,
or EDI as document delivery method), it will at this point be possible to send the
invoice to Visma.net AutoInvoice by running the processing Send to AutoInvoice.
Steps 5-7 of the AutoInvoice sending flow will now occur.
Note:
In a scenario where 1 and 2 are not followed,
and Document copies has not be set for Invoices, there is no data created in the Order document table, and
sending to Visma.net AutoInvoice will not be possible at any point.
If requirement 3 is not followed:
When printing the invoice, invoice data is written to the Order document table, and AutoInvoice status will be set to 2 - Pending. The invoice will now be ready to be sent to Visma.net AutoInvoice by running the processing Send to AutoInvoice. Steps 5-7 of the AutoInvoice sending flow will now occur.
Note:
Even if using the Only approval - print later from document archive option, as long as using a different print method than “Print”, there will
not be an AutoInvoice status set when the invoice is created in Order document table.
