How the invoice content determines how it is delivered

Note:
This topic will only concern B2B or invoicing not to consumers. Details on sending invoices to consumers can be found in the online user guide r_AutoInvoice_Consumer_Invoicing.html#r_AI_ConsumerInvoicing.
How invoices are delivered through AutoInvoice depend on the following:
  1. Address information on the invoice customer in Business NXT
  2. Electronic registry information in AutoInvoice (“address book”)
  3. Other routing rules set by AutoInvoice
  4. Sender company settings in AutoInvoice
  5. Receiver company settings in AutoInvoice (if an account exists)

Address information in Business NXT may include electronic address, e-mail address and postal address. The use of these depend on what routes are made available.

The default electronic address for a customer is determined by Business NXT based on the organisation no. Based on this and the country no on the customer (if not set, Country no. from Company information is used), the electronic address, or Endpoint, is set in the XML file. AutoInvoice will use this, in addition to the PartyIdentification value, to search through available address books. If found, the invoice is delivered electronically.

There are ways of overriding the Endpoint and PartyIdentification values, but these should only be used when absolutely necessary. For most situations, the customer only needs to have an organisation no set. The alternatives are:

Endpoint: Set AutoInvoice endpoint ID and AutoInvoice endpoint scheme according to the field documentation.

PartyIdentification: EAN location no. If nothing is set in EAN location no, PartyIdentification will be the same as Endpoint. Note that this may also be overridden by the setting Do not use EAN for PartyIdentification in Associate processing, which if set means that EAN location no is not used as an override for PartyIdentification.

Note:
AutoInvoice operator no. is not in use for invoicing. As setting an operator means excluding all delivery options except electronic delivery to the selected operator, the use of operator has been disabled for invoices to avoid failed delivery.

If no entry is found in the address books, AutoInvoice will look for alternative routes. The first option is e-mail address. Business NXT puts this in the metadata when sending invoices, and the address is found on the invoice customer, in either the AutoInvoice e-mail address or E-mail address fields. If the setting "Printout if AutoInvoice e-mail address field is blank" in AutoInvoice processing is set, only AutoInvoice e-mail address is checked and if empty, no e-mail address is set in either metadata or in the XML.

If no e-mail has been set in the transferred data, AutoInvoice will check if the sender account “Use print service” option has been enabled. If not, sending fails at this point. If the option has been enabled, AutoInvoice looks in the XML for the postal address to be used when printing and sending the invoice by regular mail. If the address information is insufficient, the sending will fail at this point.

If the address is found and is valid, the country code of the invoice customer will be used to determine which third party will be used for printing and sending the invoice. If the receiver is not in a country where AutoInvoice has an agreement with a third party print service, the invoice will be printed by a third party print service in the sender's country.

On the receiver side, if the invoice is to be delivered electronically, the receiver must of course be able to receive electronic invoices. If the receiver company has an AutoInvoice account, receival of invoices may be selected on the AutoInvoice website or if it is a Business NXT customer, it may also be selected in the Configure AutoInvoice account dialog in Company information, or in the Enable AutoInvoice wizard in the Company table. The setting is also available in the embedded AutoInvoice web page in Business NXT.

Note:
When sender country is Sweden, all invoices are transferred to InExchange before delivery method is determined. The description of handling may be different in this scenario.
