Product transaction processings
The following processing is available from the Product transaction table.
Internal invoicing
This processing is used to create a batch with cost voucher for selected rows on levels with sorting and break lines.
Prerequisites
Enter the following in the Company information table:
- The debit/credit account number that is valid for internal invoicing in the Internal invoice acc. no. field.
- The voucher number and voucher type in the Internal invoice series field.
Starting the processing
- Select the Product transaction rows you want to process.
- In the Processing menu, select Internal invoicing.
- Make settings in the dialog.
Option Description Organisational unit You can choose from the designated organisational unit classifications that you have set up in the Company information table. The first of the organisational unit classifications that you have sorted with a break, will be suggested. Value date Today's date is suggested. Direct update Updates the batch directly. - Click OK.
Vouchers will be produced for the break levels you have defined. Two voucher lines are produced for each break line when the organisational unit is different from the one registered for the employee in the Associate table:
- One voucher line in which the organisational unit for the product transaction is debited.
- One voucher line in which the organisational unit in the Associate table is credited.
Employee number is entered in the voucher lines. There can also be other break fields in the sub window that occur in the voucher lines, for example order number, invoice number, customer number, supplier number and product number.
The voucher lines are allocated the next free voucher type number and voucher type according to what has been entered in the latter field.
If you select Update order in the Voucher type table, you will have an order line added when updating the voucher. Order number and product number must then be entered in the voucher line.
Transaction status for internally invoiced transactions
Every time you invoice internally, the Internal invoiced option in the Trans. status field in the Product transaction table will be selected automatically. If you happen to select a row that has already been internally invoiced, the product transaction will automatically be skipped.
Statistical periods
The Year/Per. field in the order lines refers to the Statistics period table. It tells you which statistical period the transaction date falls within. You can make a selection and sort both with and without break lines for the field. If you want to retrieve what is contained in the field for existing order lines, you can copy the transaction dates to the order lines.
Post cost
This processing is used to produce a batch of cost vouchers for the selected rows.
In product transactions that have been posted, you can select Costs posted in the dialog belonging to the Trans. status field for the product transactions, to prevent that the transactions are posted several times.
Starting the processing
- Select the Product transaction rows you want to process.
- In the Processing menu, select Post cost.
- Make settings in the dialog.
Option Description Correction voucher/Complete vouchers Correction voucher
Only transactions with a Trans. status where Costs corrected is selected and Corrected costs posted is clear are processed.
There is a difference between the value in the Original cost price (dom.) and Cost price (dom.) * quantity that is posted. For transactions with transaction type 5 - Further processing, the transactions must also be posted in full. This means that on the transactions the Complete costs posted is selected in the Trans. status field, otherwise the corrected cost will be posted in duplicate.
Complete vouchers
All transactions that are highlighted are posted.
Transactions with a Trans. status where Costs corrected is selected are updated with both Complete costs posted and Corrected costs posted. The transactions now have the correct value and it will not be possible to post corrections later.
The field is used, for example, to post losses, stock takes, price refunds and production costs.
Set only status Only the accounting flag for correction vouchers or complete voucher is set in the Trans. status field.
This means that it is only the fields under Trans. status for the transactions that are updated. The status is set on the basis of your selections in the Correction voucher and Complete vouchers options, without creating a realisation journal or voucher.
You can use this field to set the correct status of transactions after an upgrade or to set the correct status of old transactions before you run the Post cost processing to update the accounts with cost changes, further processing, losses and stock take changes.
Ignore proc. method exclude from accounting Transactions for costs either at sale or production where you have selected Do not include totals and Exclude from accounting under Proc. method/Post processing are also processed. Value date Today's date is suggested. Direct update Updates the batch directly. - Click OK.
One batch is generated for the rows that you have selected. The process choice menu processes all selected rows that have not been processed previously.
If you select GL trans. per invoice (Recommended) in Accounting processing 2 in the Company information table, and run the Post cost processing, the voucher lines are split per invoice number.
Voucher lines are produced per account, per organisational unit per invoice. The relevant accounts from the table containing VAT- and accounting information (from the VAT and accounting group and the Account set for the product transaction) are automatically retrieved.
As the cost prices include freight and customs, freight 1-4 and customs will be deducted from the amounts to be posted as product cost.
Voucher lines are allocated the next free voucher number and voucher type from the voucher series to which reference is made in the Correction series field in the Company information table.
You will see an error messages in the following situations:
- You haven't made an entry in the Correction series field in the Company information table.
- You have performed edits that haven't been saved.
- You haven't selected any rows.
Post temporary stock value
This processing is used to create a batch with a preliminary stock value for not realised stock transactions.
Once you have finished a purchase order, a product transaction is created in the Product transaction table. You can use this processing in instances where time passes between incoming/outgoing delivery and invoicing/receipt of invoice for an order, to create a match between the stock value imported from stock balances/shipments and general ledger accounting.
Selected product transactions where the Post temp. stock value option has been enabled are then processed for the production of vouchers. The accounts in the Debit stock cost and Credit stock cost fields are imported from the VAT and accounting group specified for the product transactions.
