Reporting VAT

This section describes the steps for reporting VAT to the Danish tax authorities.

Sending the VAT report

Select the row for the correct year and VAT term to report, and select Send Danish VAT report, to display the result.

If Visma.net AutoReport has been enabled, the buttons Send and Close are available. See also: Setup in Business NXT

If Visma.net AutoReport hasn't been enabled and you just want to run the report for the numbers, the buttons Approval and Close are available.

When clicking Send, the XML-based VAT report is uploaded to Visma.net AutoReport, and this service immediately opens up in a separate browser tab.

If you want to see the content to be uploaded to Visma.net AutoReport, click the View XML button.

Update in the AutoReport archive table

A new row is inserted into the AutoReport archive table in Business NXT, mirroring the data sent to Visma.net AutoReport.

Initially, the status is set to 2 - Sent, and from now, the Status field is updated step by step between the following statuses until the approval part of the VAT report has reached the final goal:

2 - Sent

3 - Received in AutoReport

4 - Received in governmental portal

9 - Accepted by governmental portal

11 - Payment information received

12 - Batch created for VAT payment

Note:
When status is 4 - Received in governmental portal, you have to sign in to Skat.dk and approve the VAT report.

Calculation of the numbers in the VAT report

In all the Business NXT VAT codes, the SAF-T tax code column is stamped with the correct standard VAT SAF-T code in Denmark. All these 70 standard tax code numbers are part of the Standard VAT code table in Business NXT. Each Standard tax code number also carries a value in the Tax reporting no. column. This value controls where on the VAT report the numbers should be summed up:

General transactions taking part in a specific VAT period are all connected to a Business NXT VAT code (as 101).

The Business NXT VAT codes are connected to a Standard tax code number (SAF-T) (as S1).

Several Business NXT VAT codes might be connected to the same Standard tax code number.

The Standard tax code number (SAF-T) has a report value in the Tax reporting no. column (1-17).

The number controls to which of the 17 subtotals in the VAT report the transactions should be summed into.

Creation of voucher lines

After the approval is done by a user in the government portal/Skat.dk, the status is changed to 9 - Accepted by governmental portal in the AutoReport archive table. This triggers the process Approve VAT report in Business NXT. A new batch with belonging voucher lines is created (level of automation is set in Accounting instances) with origin 3 - VAT report. The purpose is to “zero out” the existing balance for the general ledger VAT accounts for the VAT year/period.

When generating the batch with voucher lines, all transactions belonging to the approved VAT report are stamped with the actual VAT report number, which creates a connection between the transactions in the report and the VAT report itself.

As for the general ledger accounts for VAT mentioned above, also the general ledger accounts for the special fees in Denmark have to be “zeroed out” in the General ledger balance table (unique for the Danish VAT approval process). To calculate the transactions and create voucher lines for the six general ledger accounts dedicated for Danish special fees, the value from the Posted amount column for each of the SAF-T codes below is summed up, transactions with origin 2 and 3 are excluded.

  • Correct VAT Year and VAT term
  • The six predefined SAF-T codes for special fees (not the general ledger accounts):
    • CO2-afgift
    • El-afgift
    • Naturgas
    • Kulafgift
    • Olie-flaske
    • Vandafgift

VAT payment

When the VAT report is accepted on the Danish government side, Visma.net AutoReport is updated with the payment information. The “invoice” with the payment information is forwarded from Visma.net AutoReport and received in Business NXT through the message queue.

In Business NXT, the status in Visma.net AutoReport archive table is updated with 11 - Payment information received and the voucher lines are created automatically. Remember to establish the Danish tax authorities as a supplier, according to Setup in Business NXT.
