VAT codes
The standard Danish VAT codes are mapped to the Business NXT VAT codes.
The standard Danish VAT codes (SAF-T codes) are the basis for the mandatory VAT report for all ERP systems in Denmark, categorised as a “standard system”. This means that it's very important that every Business NXT VAT code is 100 % correctly linked to the corresponding standard Danish VAT code (SAF-T code).
The Business NXT VAT codes are created and mapped in accordance with the standard Danish VAT codes (SAF-T).
Two special Business NXT VAT codes have been added for “net” booking of VAT for domestic sales (VAT code 106) and for purchases (VAT code 203).
These VAT codes are defined in accordance with their “parent” VAT code 101 and 201. The only difference between the VAT code 101/201 and 106/203 is the Do not calculate VAT amount option in the field VAT code processing on the “net” booking VAT codes.
A complete set of VAT codes for “net” and “gross” booking of the special fees/taxes related for electricity, water, oil, gas, CO2 and coal have also been added.
Creating self-defined VAT codes
The Standard Danish VAT codes are placed in the range 100-699 in Business NXT. There are many free numbers between the used standard numbers. Those numbers are reserved for future extensions from the Danish Authorities.
Visma wants to reserve the series 700-799 for additional standard VAT reports coming later.
When creating your own VAT codes, please start from Business NXT VAT codes number 801.
Important fields in the VAT code table
The following fields in the VAT code table are most important.
- SAF-T tax code
These codes are the link between the Business NXT VAT codes and the Danish VAT SAF-T codes, named SAF-T tax code in the Business NXT tables. The electronic VAT report is built upon the standard Danish VAT SAF-T codes.
If a Business NXT VAT code for some reason is wrongly connected to a SAF-T tax code, the VAT report will be incorrect if it’s used for a transaction in the actual VAT period. So, if an incorrect value is discovered for a Business NXT VAT code, after the transaction has been updated, but before the VAT report is run and approved, adjust the connected SAF-T tax code to the correct one and run the VAT report again.
The value for the SAF-T tax code isn't stamped on the general ledger transactions when updated, only the Business NXT VAT code is stamped on the transaction. This makes it possible to adjust and get it correct as mentioned above: before the VAT report is run and approved.
- VAT no. (VAT rate number)
This value points directly to a specific row number in the VAT rate table, where relevant information such as the VAT rate to be used, which general ledger account for incoming and outgoing VAT to be used or voucher lines are stored. This link must always be correct.
Turnover class
The logic in the VAT report is based on a combination of Turnover class and the standard Danish VAT codes (SAF-T codes) that are linked to each of the Business NXT VAT codes. The value controls the input data to the voucher line table when calculating the VAT amount and the VAT basic amounts, but also when generating the periodic VAT report.
The Turnover class is fetched automatically from the ( Business NXT) VAT code that is added to the transaction and “stamped” on the updated General Ledger transactions during the update process of the voucher lines. Note! The “Turnover Class” can also be set directly on the General Ledger accounts, this is NOT recommended! If the “Turnover Class” is set both on a VAT code and on the GL account, the “Turnover Class” from the GL account will override the “Turnover Class” from the VAT code. This might cause a lot of confusion and misunderstandings! Our strongest recommendation is: Set “Turnover Class” ONLY at the VAT codes when establishing new ones- never at the GL accounts! In the standard setup of VAT codes in Denmark the following Turnover Classes are in use: 1, 2 , 3, 4 , 5, 6, 7, 8, 9, 12, 16, 21, 22, 25 and 28.
