Introduction to processing of serial numbers on Produkt.
When there is a stock increase the serial number is updated from the order line for the reservations, and then for the shipments and the product transactions.
When there is a stock reduction Visma Business looks for the serial number in the Shipments table. If you have selected Reject non-existent serial nos. in the Serial nos. tab in the Processing method dialog box, it is not possible to register something that does not exist. Visma Business updates the Shipment no. field and, if relevant, the Finish NOW field with 1. The latter depends on whether you have selected the Calculate Finish NOW when entering serial no. check box in the Processing method dialog box. The reservation lines always retrieve the serial number from the shipment when there is a stock reduction if this has been defined. If you do not want this, you must deselect Reject non-existent serial nos. and register the serial number in the tables for order lines, reservations or serial numbers.
It is important to set up the products correctly in the Processing method dialog box in relation to the level of traceability you require for serial numbers.
In the Processing method dialog box in the Products table you will find two options to generate a shipment or a reservation per serial number: On stock increase and On stock reduction. Visma Business generates one shipment per unit when you finish the order line.
On stock increase
If you have selected this checkbox, Visma Business generates one shipment per unit on receipt of goods, finishing of production, crediting of sales order or other stock increases.
On stock reduction
If you have selected this checkbox, Visma Business generates one shipment per unit on reservation/finishing of sales order, finishing of further processing in production or other stock reductions.
When you enter a serial number Visma Business runs a number of checks that can generate a message that a serial number has either been used before or does not exist. The Processing method dialog box in the Products table contains the following checkboxes:
Non-existent serial no.
If you select this box Visma Business checks whether the serial number that you register for a sales order or another stock reduction is contained in the Shipments table. If not, you will not be able to proceed with the process. Visma Business gives you a message in the status bar for reservations and order lines, but in a dialog box in the Serial numbers table.
Duplicated serial no.
If you select Duplicated serial no. Visma Business checks whether the serial number has already been used. This option checks whether you have entered the same serial number several times for the same order line. In the Reservations table it also checks whether the serial number has been used before for the order line's product number in the Product transactions table.
Visma Business usually reserves the product when you run a pick list, but for products with a serial number you do not want such an allocation. You only want to register the serial number upon finishing.
Withdraw picking without reservations
As picking serial numbers does not produce reservation lines, you cannot use Picked NOW or the processing menu item Withdraw pick list in this instance, as the reservation lines are the key to this function. There is therefore a separate processing menu item in the Order lines table to withdraw these reservations.
Reserve serial no. when picking
By default this check box is not selected, as in most cases you do not want to allocate serial numbers from shipments at such an early stage. If you want the same functionality as earlier versions, or if you want a strict allocation of serial numbers, you must select this check box, and Visma Business will then generate reservation lines when picking in the usual way.
You can specify the serial number in the order line if you only want to register a serial number or finish serial numbers one by one, saving each time. This requires that you have selected the Calculate Finish NOW when entering serial no. checkbox.
Finishing
You can enter the serial number in the order line for outgoing and incoming deliveries, and if you have selected Calculate Finish NOW when entering serial no. for the product Visma Business updates the Finish NOW field with the figure 1. When saved, the line is processed in the usual way as though you had entered 1 in the Finish NOW field manually. If there is nothing more to finish, the Ready NOW field is reset to zero and Visma Business does not reserve any products.
For example, if you want to register several similar serial numbers for a stock increase, in the order line you can enter parts of the serial number and finish. You can then set up the serial numbers in the Reservations table and Visma Business then updates the shipment and the product transactions.
You should specify the serial number in the Reservations table, as this causes Visma Business to save one product transaction per reservation line. This gives you full control over withdrawals and at the same time traceability is ensured in the Product transactions table.
Finishing
You can enter the serial number in empty reservation lines for outgoing and incoming deliveries. If you have selected Calculate Finish NOW when entering serial no. for the product and the line is not already realised, Visma Business updates the Finish NOW field with the figure 1.
You use this table when you need to enter several serial numbers for a sales order line or a purchase order line and do not want strict individual control. For example, serial numbers of electrical products such as TVs and radios are needed for guarantees. There is therefore occasionally a need for several serial numbers for a sales or purchase order line.
You can use serial numbers for either incoming or outgoing deliveries of products. If you want the serial numbers to be stored in a shipment, you must have one incoming delivery per individual per product. In this case we recommend that you use the Reservations table.
Finishing
For an outgoing delivery you can enter the serial number in the Serial numbers table, which you can link to the Order lines table. If you selected Calculate Finish NOW when entering serial no., Visma Business calculates the value in the Finish NOW field in the order line if the same volume of goods has been dispatched with specification of the serial number.

When you print order documents, there are a number of parameters that you should bear in mind when dealing with serial numbers.
Pick lists
In the print dialog box you will find the Reserve serial no. when picking check box in the Variants tab under the Picking group. If you have selected this check box you must not at the same time select the Combine reservations per order line check box. You would then not have serial numbers printed in the reserved lines. The Use serial no. from reservations selection does not apply for Pick lists that generate reservation lines.
Invoice with serial number from the Reservations table
In the print dialog box you will find the "Serial no. from reservation lines" check box in the "Additions" tab. If you select this check box Visma Business adds lines with serial numbers from the "Reservations" table under order lines. The serial numbers are printed consecutively in the Description field.
When you print an invoice and have checked the "Serial no. from reservation lines" box in the "Additions" tab in the "Order documents" dialog box, only the non-invoiced serial numbers will be included in this invoice when part invoicing.
