If a customer has to be able to take out a certain quantity of units and be invoiced for them, you can complete the Free quantity field in the order lines. The quantity used is entered in the usual way in the Quantity field in the order line. If the quantity used exceeds the free quantity, the customer will be invoiced for the surplus quantity. Warehousing takes place in the usual way on the basis of the value in the Quantity field.
The quantity that the customer is to pay for is used when referring to the Price and discount matrix.
The Free quantity field shows the total free quantity in the order line. Anything that is in credit will be the difference between Free quantity and Free realised.
When calculating amounts and amounts before discounts in foreign and domestic currencies in the order line, Visma Business deducts the free quantity before the quantity and the price are multiplied. When calculating amounts Visma Business will also deduct the difference between Finished and Invoiced/Realised. This means that the free quantity will first be used to cover the quantity that has been finished and is ready for invoicing. If there are still any left, a deduction will be made when calculating the outstanding amount.
When the invoices are approved after printing, the part of the free quantity that has been used is totalled in the Free realised field. In the invoice printouts Visma Business will display the value that Free realised will have after approval. The value in the Free realised field is reset using the Processing/Reset menu item.
The free quantity that is deductible when invoicing is displayed in the Free quantity field in the Product Transactions table and will be deducted when the amounts in this table are calculated. When realising from several reservation rows/shipments, the free quantity is distributed proportionally on the transactions. This is based on the proportion of the quantity realised contributed by each reservation row.
Free quantity will also be processed correctly in the case of cumulative printouts.
