Quantities, prices and discounts

The order line contains a double set of quantity and amount fields. One set indicates what is delivered and invoiced and one set indicates what was actually incurred (costs).

If credit note is checkedin the order head, Visma Business automatically uses the opposite sign for the values typed in the quantity fields. This does not happen if you select the Don't change sign when crediting box in the Bedriftsopplysninger table.

It is enough to type in either an invoiceable or incurred quantity if the value is the same. Visma Business duplicates an invoiceable quantity to incurred quantity and vice versa, and displays the value in blue figures. If you change one quantity, the other is also changed as long as you have not explicitly given the field a value or deleted the value in the field.

The Quantity field is reduced upon finishing in such a way that the outstanding quantity is displayed as the quantity in the order lines. The line amounts and order totals in the order head are recalculated. At the same time the incurred quantity is scaled by the same relative ratio and incurred costs are recalculated.

In printouts the Quantity field is used to display the current quantity to which the printout relates, i.e. the quantity requested, ordered, quoted, confirmed, picked, packed, shipped or invoiced/realised. This quantity is totalled in its own quantity field for each document type in the order line when you approve the printout. If you need to display the outstanding quantity at the same time you can call up the Outstanding field. You will also find a corresponding field for incurred outstanding quantities, entitled Incurred outstanding. The Finished and Incurred finished fields show how many units have been finished. You will also find a field that displays the total quantity, i.e. the sum of the finished quantity and the outstanding quantity, both for invoiceable and incurred quantities.

If not enough units are available at the relevant delivery time, you will get a warning. At the same time as Visma Business checks that the quantity is available, an average cost price is retrieved from the Stock balances table to the order line.

Prices and discounts

When you type in or change a quantity, prices and discounts are suggested from the Price and discount matrix.

The cost price from the price and discount matrix differs from any earlier cost price in the order line, including the average cost price from the Stock balances table for issuing goods and stock transfers. You can choose to select the Do not resuggest price/discount field for the product in the Prices tab in the dialog box for the Processing method menu item.

If you set a separate cost price in the Reservations table before finishing, this is overwritten with the cost price of the shipment. The cost price is transferred to the Product transactions table together with the shipment number, serial number, location and use by date.

The discounts can be entered in per cent and/or amounts per unit. Additions are entered with a minus sign. There is also an extra set of invoiceable discount fields (Discount % and Disc. amount), which can be calculated from the same basis as the first discount or after deducting it. This depends on whether a chain discount is checked in the Bedriftsopplysninger table.

Quantity and price are multiplied, and line discounts are deducted and entered in the amount field. The line amounts are accumulated in the order head, the total discount is deducted and the amount is displayed as a rough total. When saving, exact order sums are calculated which take into account distributed group and total discounts, special taxes and VAT.

In the same way, an incurred quantity is multiplied by the cost price and cost discounts are deducted to arrive at incurred costs in the order lines and in the order head in the case of a sale (transaction type 1). Gross profit and margins will be calculated. The cost prices are also used to calculate stock values.

Processing cost prices

Visma Business processes cost prices as follows:

Purchase

Visma Business suggests the purchase price less discounts as the cost price. In the Products table you can also enter a Cost price addition. This is added to the net purchase price when calculating the cost price.

Production order

For finished goods Visma Business retrieves the cost price from the Price and discount matrix table, and for goods consumption lines the cost price is retrieved from the Stock balances table.

Sales order

Visma Business retrieves the calculated cost price from the Stock balances table. The cost price from the Shipments table is entered in the Reservations table as soon as a product from a particular shipment is reserved. The cost price is updated when you enter the shipment number directly in the order line. The cost price is transferred to the Product transactions table together with the shipment number, serial number, location and use by date.

There are several options for controlling how cost price is calculated in the Bedriftsopplysninger table and in the product's processing method.

If there are no products in stock, you can automatically bring up a suggestion for cost price from the Price and discount matrix table instead of the Stock balance's FIFO price by inserting a check for Cost price from matrix if sold out in the Bedriftsopplysninger table.

You can set up the following parameters for the product in Processing method in the Prices tab.

Appointments

Visma Business calculates the average cost price when you register stock goods for appointments. The cost price of stock products is retrieved from the FIFO field in the Stock balances table. If you want to retrieve the cost price from the Price and discount matrix table, you select the Get cost price from price and discount matrix checkbox in the Prices tab in the dialog box for the Processing method menu item.

If you have selected the Cost price from matrix if sold out checkbox in the Bedriftsopplysninger table and there are no reservable goods in stock, the cost price is taken from the Price and discount matrix table when Physical stock is 0 or negative.

Visma Business does not retrieve the cost price if you select the Do not retrieve cost price on sale checkbox in the Prices tab in the dialog box for the Processing method menu item.

Cost price in currency

If you want the cost price in currency you must select the Cost price in currency check box in the Bedriftsopplysninger table. Visma Business calculates the cost price in currency as an average of the shipments that have the same currency number. The most recently entered cost price in currency is stored together with the corresponding currency number and exchange rate. Incurred costs are totalled and posted in both foreign and domestic currency.

When you use Cost price in currency, the purchase order sets the “Cost currency no.” field equal to Currency no. If you make changes in the “Currency no.” or “Exchange rate” fields, the value is copied to the “Cost currency no.” and “Cost exchange rate” fields. If you have selected the Reduplicate from order head to order lines when storing checkbox in the Order processing dialog box in the Bedriftsopplysninger table, changes in the Currency no. and Exchange rate fields will affect all currency fields in the Orders, Order lines and Reservations fields. You should then implement the exchange rate change in the Exchange rate field in the order head.

When you are not using Cost price in currency the cost price will always use the default currency in the Cost currency no. field.
