Adding data in fields

This section describe how you enter data in the fields.

Changing rows

When you start changing a row, it is locked to prevent other users updating it at the same time. If the row has already been locked or deleted by another user, a message is displayed.

In tables with rows that have clear links with rows in other tables, the main object is also locked when you start editing. This applies to orders and order lines, for example.

Field types

There are several types of field in Visma Business. They are listed in the table below.

L = Integer

Integers are used for numbers without decimal places. The primary keys in tables are examples of integers.

F = Floating point/ Decimal separator

Floating point numbers have at least 15 digits, which may include decimal places. You can use the Control Panel to define the characters you want to use as the decimal separator and the thousands separator. Floating point numbers are used to save amounts, quantities, exchange rates, interest rates, tax rates, etc.

S = String/Text

Text fields are used for saving texts, and they may be of varying lengths.

D = Date

All date fields are numeric and follow the settings made in the Windows Control Panel.

B = Check box

Check boxes are used to set something to true or untrue. If a check box is true, a check mark v appears in the field.

AN = Alphanumeric

Alphanumeric fields are used for both numbers and letters.

Legal field values

Every time you enter data in a field, Visma Business checks whether the value is legal. If you enter an illegal value, for example an employee number that does not exist, a message appears on the status bar.

Completing fields

You can complete fields by directly typing legal values into the fields. If you cannot remember the legal values for the various fields, you can perform a lookup to display legal values, or you can ask Visma Business to suggest a value.

Automatically suggested values

In some fields, Visma Business automatically enters a value on the basis of information you have entered elsewhere in Visma Business.

For example, when you enter the employee number when entering a payroll transfer for an employee, the details you entered for that employee in the Employee with wage info table are copied automatically.

This means that many of the fields are completed automatically, although you are always free to overwrite the suggested values.

Getting suggestions for values - +

In certain fields, you can get a suggestion for the field by pressing + (plus key). The value suggested depends on which field the pointer is in. In a date field, for example, the current day's date will be suggested , while the next available primary key will be suggested if the field pointer is in a primary key field. + (plus key) frequently does the same things as / (forward slash key).

Date fields

You can either enter the date in date fields, or you can look up a date in the calendar, using the arrows to move back/forward to the date you want to enter.

Deleting field values

By clicking DELETE, you delete the value in the field where the pointer is. If you have selected several fields, the values in all of them will be deleted.
